Main Duty Station and Location: Phnom Penh/ Cambodia, with the possibility to be relocated to Siem Reap after approximately 3 months

Mission/s to: Local travels in the course of assignment, when needed, will be authorized through separate travel requests

Start of Contract (EOD): 1 May 2021

End of Contract (COB): 31 October 2021

Number of Working Days: 6 months (with the possibility of extension, after successful completion of probationary period of 6 months)

In this context, UNIDO is recruiting a qualified National Project Admin Assistant to fulfill duties of administrative assistance to the Project Implementation Unit as given in the table below. He/she will work under the direct supervision of the Chief Technical Advisor (CTA), under the responsibility of the Project Manager in Vienna, in close cooperation with the project counterparts (mainly the Fisheries Administration), the UNIDO Country Representative and project team.

Duties

  • Support in office management including control of equipment, office supply vehicles etc.
  • Provide administrative and organizational support for other coordination meetings, events, study tours, training programmes, workshops, etc. under outputs 1-4.
  • Using SAP, initiate and follow up on actions related to training and study tours, purchase of equipment, travel authorizations requests/claims and deal with all related inquiries and process all payments through relevant accounts and liaise with project team at Phnom Penh and UNIDO HQ to clear all payments in time.
  • Collect and compile all data and documents for bi-annual reports, annual reports, service providers’ reports and other reports as required.
  • Provide logistical support for international consultants, national consultants, and visiting UNIDO staff members and in organizing meetings, study tours and workshops at the field level.
  • Monitor disbursements, commitments and budget allocations in outputs 1-4.
  • Maintain project equipment inventories and ensure appropriate use.
  • Perform any other related PIU activities, as requested by CTA and National Project Administrator.

Requirements

  • MINIMUM ORGANIZATIONAL REQUIREMENTS
  • Education:
  • Completed secondary education. Formal secretarial/clerical training or equivalent desirable. Credit towards total working experience may be considered on a year-by-year basis, up to maximum of four years, for a first university degree or equivalent diploma, in a field relevant to the post.
  • Technical and Functional Experience:
  • At least 6 years of experience in administrative work, related project management and office procedures.
  • Work experience in donor-funded projects or knowledge of UN administrative procedures is a strong plus.
  • Proficient use of Microsoft Office package (Outlook, Word, Excel and PowerPoint) and Internet. Experience with SAP or similar ERP software is an asset.
  • Languages: Fluency in written and spoken English and Khmer is required.
